Batch Recall & Withdrawal
Our procedure for identifying, tracing, and remediating batch-level quality or safety issues across our research-supply catalogue.

1. Purpose
This page describes how Polaris Research (Polaris Research) identifies, traces, and responds to batch-level quality issues affecting products we have supplied. Every order is tied to a specific batch number and Certificate of Analysis, so affected units can be traced to individual customers.
2. Traceability
Each order records the product SKU, batch number, and quantity at the line-item level. Customers can verify their batch at any time via our batch verification page. We retain batch-level test reports, supplier documentation, and dispatch records as an audit trail.
3. Triggers
A recall or withdrawal may be initiated when:
- A batch is found not to match its published Certificate of Analysis.
- A supplier or third-party laboratory flags a quality or identity issue.
- A regulatory authority issues a direction or advisory affecting a specific batch or compound.
- A pattern of customer-reported issues points to a common batch defect.
4. Procedure
When a batch-level issue is identified:
- Quarantine: remaining stock of the affected batch is removed from sale and held for investigation.
- Trace: we identify all orders containing the affected batch using our order and inventory records.
- Notify: affected customers are contacted by email with the batch number, a description of the issue, and instructions. The notification is also published on this page and on the product page where applicable.
- Remedy: affected customers are offered a replacement from a verified batch or a refund, consistent with the Australian Consumer Law. See our Returns & Refunds policy.
- Report: where required, we report to the relevant regulatory authority and cooperate with any investigation.
5. What to do if you identify an issue
If you believe a product you received does not match its COA or has a quality defect:
- Stop using the product immediately.
- Email compliance@polarisresearch.com.au with your order number, the batch number from the vial label, and a description (with photos where relevant).
- Do not discard the product until we have confirmed next steps.
6. Active recalls
There are currently no active recalls. If a recall is initiated, details will be published here with the affected batch number, product name, date range, and remedy instructions.
